About the Role
Responsible for the organization and coordination of all commercial and technical documents also providing system reports, maintaining and updating electronic information systems and ensuring the accuracy of all documentation and regulatory procedures.
What you will be doing
Activate the approved document control structure and monitor communication flow.
Compile all project’s completed documents and records and dispatch to head office document control.
Effectively follow the company’s standard operating procedures for the submission of all documents.
Ensure proper archiving of records of contractor’s submissions upon its completion.
Ensure that all documents and drawings remain confidential.
Ensure that all documents are dispatched to the respective recipients in a timely manner.
Ensure that all documents are submitted in accordance to quality standards and submitted punctually.
Identify adjustments of supporting documents to comply with the project’s requirements and scope.
Introduce Pace document control structure, logs and document identification.
Issue approved correspondences and update project document control logs as appropriate.
Locate and retrieve any documents/drawings requested from authorized users by searching through files and documents.
Maintain an effective tracking process for all incoming and outgoing project related documents.
Maintain and classify drawings (e.g. workshop drawings, as-built) Maintain and update a drawing log and update periodically.
Monitor and ensure timely follow up on pending items in project document control logs.
Receive and dispatch submittals and transmittals received by the contractor.
Receive, scan, and distribute documents to concerned employees.
Required Experience
5 years experience in administrative work.
Experience as a Document Controller or similar role.
Has knowledge of the processes of incoming and outgoing submittals and distributing routine correspondence.
Understands how a project site operates and the associated administration activities.
Education
Diploma or bachelor’s degree in business administration or relevant field.
Certifications & Memberships
Training and certification with MS Office.
Essential Skills
Strong English communication skills, both written and verbal.
Knowledge of document management system Filenet experience preferred.
Adaptable to change.
Can operate and be effective in a team environment.
Time management skills.
Organized to coordinate work and tasks to meet work demands.
Has interpersonal skills to work with all parties.
